How to Make a theatre support request
All events booked into a theatre facility require filling out a Theatre Support Request form. The theatre facilities are supported by professional theatre staff and approved, trained student technicians. Control booth access and technical equipment use by non-approved faculty and students is strictly prohibited.
The following theatre facilities require event planners to submit a Theatre Support Request form:
Lyso Center for the Performing Arts
Edie J. Moon Theatre
Black Box Theatre
Lower Lobby (1F)
Upper Lobby (2F)
Elementary School
Robb Hall Theatre
Robb Hall Lobby
To submit a Theatre Support Request form, please follow the steps below:
Step 1:
About one (1) week prior to your theatre booking, you will receive an email from the Theatre Office confirming your event. This will include a copy of your Google Calendar event details, as well as a direct link to the Theatre Support Request form, which can also be found HERE.
Step 2:
Navigate to the Theatre Support Request form. Read through & fill out the form according to the needs of your event.
If you have book multiple dates for the same event (for example, rehearsals for a class assembly), please indicate all dates and times you have booked so that we can associate all dates with a single request form.
Step 3:
After you have finished filling out the form, click the "Submit" button at the bottom of the last page.
Congratulations, you have submitted a Theatre Support Request form!
Plans change?
Sometimes things happen and you need to change your plans - we understand! If you need to make changes to your submitted request form, please contact John Black (Theatre Manager) directly instead of submitting a second form. Please contact John via email or Google Chat (john.black@seoulforeign.org).
Tech Support Guidelines
Our goal is to have all of your technical and staging needs ready when you arrive at the theatre. As such, we ask that you submit a Theatre Support Request form for your booking no less than 24-hours prior to your booking. Technical equipment is shared between the theatres, and we may need time to move, setup and test equipment.
If you need furniture items such as folding chairs, folding tables, white boards, or other items that are part of the GA inventory, we ask that you submit a GA Setup Request no less than 48-hours prior to your booking so that GA can arrange for these items to be delivered to the theatre on time. These items are shared across the campus and GA will need time to transport anything not already in the theatre. Please use the Helpdesk "Setup Request - Theatres / Theatre Lobbies" template to expedite your request.
All Theatre Support Requests forms should be made by SFS faculty & staff. Students are not allowed to book a facility and any bookings or support requests by students will immediately be removed. This is to ensure that all events are properly supervised and prevent students from scheduling staff member work hours.
We have published - and will keep up to date - web pages on the Theatre Office website with facility information, event planning guides, and other resources to help you plan your event. These are available from the Guides & Policies webpage or the Venues & Services webpage for venue-specific information.
